Job Description

The Office Manager will be responsible for the day to day operations of the Medford clinic, making sure areas of the clinic are running smoothly. Responsible for supervision of the Office Specialists and Clinic Aide.

Hours: Full Time, 40 hours week Monday - Fridays

Location: Medford, Oregon

Job Type : In Office position

Salary: $24.45- $28.30 DOE

Employment Contingencies: 60-Day Probationary Period

This will start from the employee hire date. The probationary period allows both the employee and employer to assess suitability of the role and working relationship.

Duties/Responsibilities:

  • Management of all office staff. Coverage for staff when on vacation or sick.
  • Liaisons between office specialists, therapists and management.
  • Assist in devising strategies and plans for the clinical department according to company standards for excellent service and growth.
  • Coordinate and supervise office staff providing constructive feedback, evaluate performance, and discipline employees when necessary. Facilitate annual reviews.
  • Provide office staff personnel with clinical training and opportunities for continuous development.
  • Report payroll every 2 weeks. Approve timesheets and time off requests in Paycor.
  • Perform Hiring and Onboarding procedures. Turn in all new employee documents to HR and credentialing documentation to credentialing specialists.
  • Contract with various companies for background checks.
  • Training new office staff.
  • Perform Offboarding procedures per HR.
  • Participation in Safety Committee and ensure OSHA standards are met. Maintain BOLI Signage.
  • Responsible for business licenses.
  • Oversee CPR Certifications.
  • Office Equipment Management.
  • Overseeing and assisting with treatment area organization.
  • Hire/Oversee cleaning company and maintenance personnel.
  • Maintaining all areas of the building, inside and out.
  • Inventory (order all supplies when needed).
  • Track all donations, provide tax receipts to donors.
  • Balance petty cash and maintain visa receipts.
  • Attend management meetings and office specialist meetings.
  • Send records as requested and maintain all electronic files.
  • Support volunteer program.
  • Marketing and Outreach.

Education and Qualifications:

  • Microsoft suite, Google Workspace.
  • Minimum of 2-4 years of front Office management experience preferred.
  • Strong written and verbal communication skills.
  • Organization and the ability to multitask to a wide variety of tasks.
  • Strong interpersonal skills to interact positively with all employees.
  • Attention to detail and ability to meet deadlines.
  • EHR (Ensora and InSync) experience is a plus.
