Benefits: • Medical Insurance • Dental Insurance  • Vision Insurance  • Life Insurance  • 401(k) with 3.5% match (more details of the breakdown will be provided) • Paid Time Off (Based on position) • 6 Paid holidays • Gym- Reimbursement • Short-term disability and life insurance Responsibilities: • Manage the front-of-house operations and administrative staff of the Firm for all locations. • Manage and maintain facilities, vendors, and inventory of supplies for multiple offices. • Draft policies and procedures, checklists, templates, and scripts as needed, and coordinate training for all staff and management involved. • Audit and spot check to ensure policies and procedures are being followed and operating as intended. Proactively provides feedback and data to the management team regarding the effectiveness of processes, the quality of work product, employee performance, and staff needs. • Monitor incoming phone calls to the Firm are promptly answered with professionalism and courtesy, demonstrating excellent phone etiquette, and providing backup support when necessary. • Ensure firm calendar and client meetings are aligned for the managing attorney and legal team members.  • Ensure that clients and matters move through the workflow pipeline at the right pace and that documentation is complete. Qualifications: • At least 2-4 years of Operations Manager experience or a similar administrative role. • Bilingual proficiency in English and Spanish preferred (verbal and written). • The individual must be confident in their interactions and possess a professional demeanor and work ethic. • Experience or skill in managing the day-to-day operations of a high-level office. • Ability to commute reliably between office locations during working hours. • Ability to work independently as well as part of a team in a fast-paced environment. • Strong organizational, multitasking, and communication skills. • Strong time management skills with the ability to prioritize tasks effectively. • Proficiency with office software (MS Office, Google Workspace, etc.). • Proficiency in using phone systems and other office equipment. • Excellent organizational skills and attention to detail. • Familiarity with office management practices is desirable.  • Proactive individual who thrives in an administrative role and problem solver.  • Must be able to pass pre-employment screening (background).
